Account Executive
Description
- Has and applies knowledge of client organizations, products, disease states, and medical communications.
- Promptly and accurately document client contact reports, requests, and meeting outcomes concisely and accurately.
- Central point of contact for projects they lead; facilitate client conference calls or meetings in collaboration with senior leads and provide timely follow-up on deliverables.
- Manages entire projects with senior Client Service supervision and support.
- Proactively manage client expectations and provide regular updates on project status (including status report updates), risks, and timelines.
- Initiate projects by assisting in the development of project scopes, deliverables, timelines, and estimates.
- Maintain all project files and job folders.
- Opens jobs within the project and time management system (Workamajig).
- Drive the day-to-day execution of projects, orchestrating all phases to ensure timely, high-quality delivery.
- Proactively identify and mitigate potential project risks and issues as they arise.
- Oversee all project finances, including tracking budgets, monitoring for scope changes, and preparing weekly burn reports.
- Act as the central communication hub for all projects, coordinating cross-functional teams to ensure seamless collaboration.
- Establish a positive working relationship with cross-functional colleagues and collaborates well to achieve project success.
- Lead and facilitate internal and external meetings, distilling notes into key points and actionable next steps for stakeholders.
- Maintain accurate status report to guide weekly client status calls
- Proactively communicate project status to both internal and external stakeholders, keeping a clear record of all critical communications.
- Carefully evaluate project workload and timelines, raising potential resourcing risks with manager to collaboratively determine how to manage coverage needs.
- Ensure all project deliverables meet high-quality standards by conducting thorough content reviews prior to client submission.
- Maintain a full understanding of Medical, Legal, and Regulatory (MLR) submission processes and client-specific compliance requirements within publication management portals and other systems.
- Bachelor’s degree, preferably in health sciences, marketing, or communications.
- 2-3 years of work experience in a healthcare, marketing, or communications agency.
- Strong communication, relationship-building, and strategic thinking skills. Excellent organizational skills, attention to detail, and follow-through.
- Experience in project management software (e.g., Workamajig, AirTable, Jira)
- Proficient in Microsoft Word, intermediate-level Excel and PowerPoint.
- Experience with Veeva software is a plus.
- Ability to travel at least 1-3 times per year to meet with clients
